Tooling and Workflow Alignment

$0.00

Choose and implement tools around the way your team needs to work, not the other way around.

Tools are expensive. Selecting them, configuring them, and teaching people to use them requires a significant investment. Poorly managed implementations can also create confusion, frustration, and resistance. We help teams make thoughtful technology decisions and build the workflows, training, and support required to get meaningful value from them.

Discover

  • Assess current tools, workflows, pain points, and workarounds

  • Understand employee needs, technical constraints, and business priorities

  • Identify redundant tools, capability gaps, and adoption barriers

  • Evaluate how information and work move across teams

Define

  • Establish clear selection and evaluation criteria

  • Design workflows before choosing or configuring technology

  • Build the business case, including costs, benefits, risks, and implementation needs

  • Define success measures and adoption requirements

Implement

  • Support tool selection, configuration, and rollout

  • Redesign workflows and document new processes

  • Develop practical, role-specific training and resources

  • Establish governance, ownership, and support structures

Sustain

  • Monitor adoption and gather employee feedback

  • Address friction, confusion, and unintended consequences

Case Study

Overview

The toolkit was scattered and expensive: duplicative tools, no centralized naming convention, and a proliferation of micro preferences made it difficult to find relevant files and collaborate across teams.

We assessed which tools people used against the ones they were meant to, uncovered redundancies and workarounds, and designed workflows before creating the selection criteria. The business case we built carried costs for ramp down, migration, and adoption along with license counts. Rollout was done with role-specific training, naming and file storage conventions, user management criteria, named owners for each area, and a quarterly true-up process.

We value the privacy of the companies we work with. For a more in-depth look at our Tooling and Workflow Alignment work, please schedule a consult.

Impact

  • Toolkit consolidated from seven tools to three core tools for all.

  • $500k in license recapture and tool consolidation against a $4.5M non-labor budget.

  • Adoption: 100% of the organization adopted the new tool and workflow in stages within 3-5 months.
